All (additional) hire needed i.e tables, chairs, tablecloths, cutlery,

glassware and crockery at an additional cost (external supplier & subject to availability).

Additional buffet set up fee for larger groups.

Excludes serving staff & waitrons.

Transportation costs to and from venue.

Call out fee applicable for evnues/locations outside of Cape Town.

We do not supply gazebos, tents and marquee structures of any kind.

Service fee for weddings to cover extended time at the event.


Terms


25% deposit required to secure your booking/date (flexible payment options available).

Dates are based on availability.

Bookings are highly essential as dates are offered on a first come first serve basis (payment secures).


All outstanding balances must be settled at least seven (7) days prior to the event date.

No changes to menu or quantities will be allowed 5 days prior to the event.

All prices are subject to change without notice unless formally communicated or invoiced.


Cancellations within 2 months prior to event will be charged at 10% and within a month 20%

will be charged.

Cancellations made within 24 hours of the scheduled event will be subject

to a 100% cancellation fee, the full invoice amount will remain payable.


A service fee will be charged for events that exceed the expected serving time,

standard serving duration two (2) hours.

Services rendered on Sundays and Public Holidays are subject to higher rates.

A 10% inflation applicable during the peak season for the months of November, December and January.

Extended Terms & Conditions


  1. Force Majeure & Circumstances Beyond Control

    WeBraai (Pty) Ltd shall not be held liable for any delay, inerruption, reduced service quality, or failure to perform arising from circumstances beyond its reasonable control, including but not limited to adverse:


Weather conditions

Strikes

Roits

Civil unrest

Road closures

Traffic delays

Power outages

Water interruptions

Government restrictions

Pandemics

Supplier shortages

Venue limitations

or acts of God

In such instances, WeBraai reverse the right to reasonably adjust service timelines, menu items, staff arrangements, or event logistics where necessary.


  1. Delays caused by clients, guests, venues or third parties

    The client acknowledge that event timing is critical to food quality and service standards. WeBraai (Pty) Ltd shall not be held responsible for compromised food quality, delayed service, reduced food temperature, overcooked products, or operational disruptions caused by:


    Late guest arrivals

    Delayed speeches/ program schedules

    Venue access restrictions

    Delayed set up access

    Load in limitations

    Late confirmation of event details

    Delays caused by entertainers, Dj's, photographers, coodinators, decorators, venues or any third party suppliers

    Environmental factors


Any delays exceeding the agreed service schedule may result in additional staffing, holding, transport, fuel, or overtime charges.


  1. Third party vendors & external service providers

Any recommendations made by Webraai for Dj's, photographers, florists, entertainers, coordinators, venues, equipment suppliers, or any third party vendors are provided purely as a courtesy. All agreements for such services remain strictly between the client and or third party vendors concerned.


WeBraai (Pty) Ltd accepts no liability whatsoever for:


Their conduct

Punctuality

Negligence

Cancellations

Product quality

Equipment failure

staff conduct

Service delivery

or contractual disruptions


Please note that when a vendor is booked through WeBraai (Pty) Ltd, we accept full responsibility for the coordination and management of such booking, strictly in line with the agreed scope of service and the relevant vendors terms & conditions.


All vendor arrangements remain subject to availability and supplier specific terms.


  1. Food safey & consumption

Food quality and safety can only be guaranteed while food remains under the direct control and supervision of WeBraai staff.


Webraai accepts no liability for:


Food removed from the venue

Food stored incorrectly

Food consumed outside recommended serving times

Contamination caused by guests or third parties

or food suppled by external vendors

Clients and or any third parties who supply their own dishes do so at their own risk, including any risk of contamination affecting other food items or services provided by WeBraai (pty) Ltd.


Once food leaves the desginated serving area or delivery is accepted and signed for, responsibility transfers to the client and/or third party.


  1. Allergies & dietary requirements

    While WeBraai takes reasonable precautions to accommodate dietary requirements and allergies, our preparation facilites are not certified allergen free environments.


WeBraai connot guarantee the complete absence of allergens including but not limited to:


Nuts

Diary

Gluten

Shellfish

Soy

or cross contamination traces


Clients remain responsible for communicating severe allergies in writing prior to the event


  1. Venue requirements & client responsiblities

The client and/or any third parties shall ensure that the venue provides:


Safe and reasonable access for vehicles and staff

Adequate setup and preparation space

Sufficient electrical supply where required

Appropriate shelter where necessary

and secure parking for vehicles and equipment


WeBraai reserves the right to modify service delivery where venue conditions are unsafe, impractical, inaccessible, or non compliant.


  1. Licenses, permits & venue compliance

The client is solely responsible for obtaining all permits, licenses, permissions, approvals, and venue autorisations required for the event, including permissions relating to:


Fire & safety regulations

Venue access

Noise restrictions

Liquor licensing

Public/private space usage

and municipal coompliance


WeBraai shall not be liable for disruptions caused by non compliance with venue or legal requirements.


  1. Equipment damage, loss & security

The client accepts full financial responsibility for any loss, theft, misuse or damage to Webraai equipment, hired items, serving ware, decor, structures, cooking equipment, or rental items caused by guests, venue staff, external suppliers, or third parties.


Any missing or damaged items shall be invoiced at full replacement value.


Where equipment remains onsite after service for later collection, the client must ensure that such items are secured in a locked and safe environment. Liability for such equipment transfers to the client and/or third party suppliers during this holing period.


  1. Outdoor events & environmental conditions

For outdoor events, WeBraai (Pty) Ltd shall not be held liable for disruptions or food interference caused by:


Insects

Wildlife

Wind

Dust

Rian

Extreme temperatures

Smoke

or environmental conditions outside of our control


While reasonable protective measures may be implemented, the client remains responsible for arranging suitable shelter or pest controlled environments where desired.


  1. Guest conduct & safety

WeBraai shall not be liable for injuries, accidents, damages or incidents caused by:


Intoxicated guests

Unsafe guest behaviour

Failure to follow safety instructions

Unauthorised interference with cooking equipment

Open flames

Gas equipment

or restricted staff areas


WeBraai reserves the right to suspend or terminate services where staff safety is compromised.


  1. Staff, subcontractors & product substitutions

WeBraai reserves the right to utilize subcontractors, temporary staff, hired equipment providers, speciality chefs, or alternative suppliers where operationally necessary


WeBraai further reserves the right to subsititute ingredients, products or menu items with equivalent quality alternatives due to supplier shortages, seasonal availability or unforeseen circumstances.


  1. Guest count & portion allocation

Portions and quantities are calculated strictly according to the final confirmed guest count provided by the client


WeBraai shall not be responsible for shortages where:


Attendance exceed confirmed numbers

Additional guests arrive

Portions are excessively consumed

or food is allocated by third parties without staff supervision


  1. Waste removal

Webraai is responsible only for the removal of catering related operational waste generated directly by our service.


WeBraai shall not be responsible for the removal of disposal of:


Decor & any form of structures

Flowers

Bottles or cans

Gift wrapping

General waste refuse

or third party waste


  1. Payment default & unsafe conditions

WeBraai reserves the right to immediately suspend or terminate services where:


Payment terms are breached

Deposits are unpaid

Fraudulent information is provided

The environment becomes unsafe

Staff are subjected to abuse, harassment, intimidation, discrimination, or hostility

or operational conditions pose unreasonable risk


In such cases, no refunds shall be due for services already rendered or cost incurred.


  1. Marketing & media usage

Unless otherwise agreed in writing prior to the client, the client grants WeBraai (Pty) Ltd permission to use:


Event photographs

General event descriptions

Menus

Testimonals

and non confidential feedback

for portfolio, marketing, website and promotional purposes. Clients requiring confidentiality or non-disclosure must request this formally in writing prior to the event date.


  1. Non solicitation of staff

The client and any associated third party vendors agree not to directly solicit, employ, contract, or engage any employee, chef, waiter, coordinator, subcontractor, or staff member of WeBraai for private or external employment during the event and for 12 months thereafter without prior written consent.


  1. Limitation of liability

To the fullest extend permitted by law, WeBraai (Pty) Ltd total liability arising from any claim, loss, damage or dispute relating to the event or services rendered shall be limited strictly to the amount paid by the client for the specific services provided.


Under no circumstances shall WeBraai be laible for:


Indirect losses

Reputational damgages

Emotional distress

Loss or profits

Event disruption costs

Accommodation expenses

Third party claims

or consequential damages


  1. Indemnity

The client agrees to indemnify and hold harmless Webraai (Pty) Ltd, its directors, employees, subcontractors and affiliates against any claims, damages, loses, liabilities, legal actions or expenses arising from:


Guest conduct and/or venue incidents

Third party suppliers

Unsafe venue conditions

Alcohol related incidients

Client, guest or third party negligence

or circumstances beyond Webraais reasonable control

  1. Non solicitation of staff

The client and any associated third party vendors agree to not directly solicit, employ, contract or engage any employee, chef, waiter, coordinator, subcontractor or staff member of WeBraai for private or external employment during the event and for a period of 12 months thereafter without prior written consent.


  1. Limitation of liability

To the fullest extent permitted by law, Webraai (Pty) Ltd total liability arising from any claim, loss, damage or dispute relating to the event rendered shall be limited strictly to the amount paid by the client for the specific services provided.


Under no circumstances shall WeBraai be liable for:


Indirect losses

Reputational damages

Emotional distress

Loss of pofitls

Event disruptions costs

Accomodation expenses

Third party claims

or consequential damages


  1. Indemnity

The client agrees to indemnify and hold harmless WeBraai (Pty) Ltd, its idrectors, employees, subcontractors and affiliates against any claims, damages, losses, liabilities, legal actions, or expenses arising from:


Guest conduct and/or venue incidents

Third party suppliers

Unsafe venue condtions

Alcohol related incidents

Client, guest or third party negligence

or circumstances beyond WeBraais reasonable control.
